About the role

We’re looking for a creative and highly organised Events Manager to lead the planning and delivery of our in-person experiences for our learners and staff. You’ll play a key role in shaping the University’s most memorable moments, delivering our December Immersion and Graduation project, as well as getting us set up to deliver our 2026 in-person experiences.

You’ll manage the end-to-end logistics of events, working closely with the Community Manager to create meaningful experiences that bring our community and staff together. You’ll thrive in a fast-paced environment, balancing multiple moving parts, and ensuring every detail is executed flawlessly.

This is a contract, project-based role (20 hours per week) from 1st September to 31st December, with potential for extension.

Your main tasks will include:

Short-Term Project: December 2025 Immersion & Graduation Delivery & 2026 In-Person Experience Planning

  • Plan & execute December Immersion and Graduation events from start to finish
  • Source & manage local suppliers, venues, caterers and partners
  • Co-create programming with learners and staff, including social activities & workshops
  • Coordinate logistics for staff travel, accommodation and on-the-day operations
  • Oversee guest experience from pre-event communications to post-event follow-up
  • Research & secure venues and partners for 2026 Immersion and Workations
  • Capture learnings to improve efficiency, cost-effectiveness and future experiences

What we are looking for:

  • Proven events experience - ideally 3+ years managing in-person events, with hands-on experience in planning, logistics and on-site coordination
  • Exceptional organisational skills - able to manage multiple timelines, budgets and stakeholders without missing details
  • Strong interpersonal skills – comfortable collaborating with learners, staff and external vendors, and creating inclusive and meaningful experiences
  • Process-oriented mindset – enjoys creating systems for smooth operations and confidently implementing tools to support event delivery
  • An entrepreneurial and approach - you enjoy the hustle of working with modest budgets and finding creative ways to make them stretch
  • Proactive and adaptable – able to problem-solve independently in a fast-paced, dynamic environment
  • Fluency in English is required; German is ideal too, but not necessary
  • You must be available to attend the December Immersion and Graduations in Berlin (2-6 December 2025 inclusive)
  • Based in Germany or Austria
