Reports to: VP People Operations

Location: US Remote (with occasional travel to Texas based office as required)

Contract type: Part time - 28 hours per week/ Permanent

Position Overview

The Payroll & Benefits Administrator will be responsible for managing and administering all payroll and benefits processes for BibliU’s US divisions. This role ensures payroll accuracy, compliance with federal and state regulations, and provides strategic guidance on compensation and benefits practices.

What you will be doing:

  • Payroll Administration
    • Manage end-to-end payroll processing for two bi-monthly payrolls across US divisions.
    • Ensure accuracy of timesheets across retail teams, including tax, deductions, and reporting.
    • Maintain compliance with all federal and state payroll regulations.

  • Benefits Administration
    • Oversee the total benefits package lifecycle, from sourcing and implementation to enrollement and ongoing management.
    • Administer health, vision, dental, life insurance, and other employee benefits.
    • Provide guidance and support to employees regarding benefits programs.

  • Compliance & Regulatory Responsibilities
    • Set up and manage state tax accounts to support growth into new states.
    • Ensure compliance with federal and state labor standards, including Fair Labor Standards Act (FLSA) requirements.
    • Oversee compliance of onboarding documentation, including I-9 completion, audits, and state-mandated onboarding notices/posters.

  • Advisory & Reporting
    • Act as the key advisor on all US compensation and benefits matters.
    • Maintain accurate records and prepare payroll/benefits reports as required.
    • Partner with HR and Finance teams on payroll and benefits strategy.

What we are looking for

Must have:

  • Experience running payroll processes for a US-based company.
    Experience managing multiple payrolls (bi-monthly preferred).
  • Strong knowledge of US labor laws, tax requirements, and benefits regulations.
  • Highly process-driven, detail-oriented, and organized.

Good to have:

  • Experience using BambooHR for payroll processing (highly desirable).
  • Prior experience in a fast-growth or multi-state organization.
